Management Assistant (Office Automation)

The Management Assistant (OA) serves as a direct liaison between the Chief of Mental Health Service and other hospital staff and is responsible for the administrative, organizational, and functional responsibilities of the service by providing direction and guidance in daily work operations to the medical support assistances at the community based outpatient mental health clinics, the psychosocial rehabilitation program, and general mental health services.
Duties include:
-Preforms typing and integrates several types of software to generate specific working documents and forms such as spread sheets, databases, word processing, desk-top publishing, and graphs.
-Serves as liaison and primary contact person between Mental Health Service and IRM, disseminating information to service users about the computer systems and advises of software issues and problems.
-Requisitions operational materials for the service via purchase card and completes the auditing procedures to balance the services control points.
-Prepares, composes, or reviews correspondence prepared for the purpose of obtaining or supplying information.
-Monitors and reports time and attendance.
-Provides assistance in the administrative management of Mental Health by supporting the analysis, planning, controlling, and monitoring of personnel, supplies, equipment, facilities, and financial resources.
-Provides assistance to the Chief in performing analyses and/or evaluation of operating program characteristics.
-Assists in conducting surveys of agency operating programs.
-Receives and relays incoming and outgoing telephone calls and messages.
-Assembles patient's records, inserts required forms.
-Updates records to include treatment or test results.
-Determines eligibilities, records physician's orders, charts medical data, or schedules appointments.
-Initiates and routes proper forms for such things as release of patient funds, clothing services, canteen coupon books, and authorized absences upon physicians' determination.
-Performs miscellaneous clerical duties as assigned.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
